position
is responsible for processing ad copy and other information related to the sale of advertising. Duties include contact with the advertising client, providing excellent customer service, processing the sale, and working with the Sales Representative on any issue related to the processing of the sale. Primary activities include speaking with clients, inputting information into Naylor CRM and MIS database systems, and providing related administrative duties, such as scanning, faxing or photocopying.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned as need arises.
1) Provides customer service to advertising clients to obtain information to complete an advertisement order.
Contacts clients to obtain ad copy and/or information to facilitate the processing of the sale.
Contacts clients to resolve any problems related to ad copy.
Coordinates approval of ad proofs.
Ensures accurate posting of NaylorNet sales.
Reviews Page Proofs to confirm accuracy for both ad copy, ad placement and listing details (Index to Advertisers, Advertiser.com, listing contact and profile for listing/profile sales).
2) Processes advertisement orders.
Verifies that all necessary information has been acquired to complete a sale.
Posts ad copy and signature to advertisers' orders in MIS.
Relays advertisement orders to the production department.
3) Coordinates with Sales Representatives to complete any ad changes or order amendments.
Communicates any changes to ad copy or order details to Sales Representatives. Documents communication of changes in Naylor CRM or MIS.
i. Changes to a sale that result in a change to the billing of an order (e.g., change in color, size, cancellation, etc.) are communicated to the Sales Representative to further confirm with the client the modification to the billing of the order.
ii. Changes to ad copy that does not affect the billing for a sale will be communicated directly between the Advertiser and the Media Coordinator.
4) Assists Lead Media Coordinators with the completion of Publication workflow for project closings or, in the absence of a Lead Coordinator, handles all work associated with project closings.
Ensures Flows are proofed, in compliance with layout/production standards, and approved for production on Ad Copy to Winnipeg (ACTW) date.
Ensures Index to Advertiser and Advertiser.com data are properly updated in MIS by (Editorial Copy to Winnipeg) ECTW date.
Completes and submits profile data files and marketplace mock-ups to production by ECTW.
Coordinates approval of sales Page Proofs within 48 hours of Page Proof posting by layout department.
5) Provides administrative support and assistance for assigned branch and as assigned by
supervisor
. Additional administrative support for branch may be assigned based on the needs of each branch.
Qualifications
High School Diploma or equivalent required.
Minimum of two (2) years in a direct, work-related administrative role. Experience in a production or sales environment is preferred.
Proficient in Microsoft Office programs including Word and Excel.
Minimum keyboarding speed of 40 cwpm
Strong organizational, interpersonal and problem-solving skills with the ability to work in a fast-paced, deadline-oriented environment.
May need to lift up to 40 pounds
Willingness to conduct self according to Naylor's operating values, which include operating with honesty and integrity, and in a spirit of teamwork and respect.
Familiarity with Naylor MIS is an asset.
